What is the purpose of this configuration?
This feature allows your guests to select various criteria (service, skill, region, etc.) while:
automatically finding an available member matching the chosen criteria;
simultaneously booking an available venue;
automatically displaying the venue in the appointment confirmation.
Step 1: Create your business teams
What do I need to do?
Go to the Teams section in Vyte.
Create teams that reflect your organisation.
For example:
Literature Team
Tutoring Team
EMEA Team
Customer Support Team
Why?
These teams allow guests to choose the type of support or service they need.
Step 2: Assign tags to teams
What do I need to do?
Open the settings for each team.
Add tags corresponding to their speciality or scope.
Examples:
Literature
Tutoring
EMEA
Training
Consulting
Why?
Tags are used to filter teams and direct guests to the right contacts.
Step 3: Create a dedicated team for each venue
What do I need to do?
Create a user to represent each venue to be booked.
Create a separate team for each venue.
Add only the user corresponding to that venue to its team.
Examples:
Paris Room → "Paris Room" team
London Room → "London Room" team
Training Room → "Training Room" team
Why?
Each venue becomes a bookable resource whose availability is checked automatically.
Step 4: Add members to multiple teams if needed
What do I need to do?
Assign the same user to multiple teams when they have several skills or work across several areas.
For example, a team member can belong to the following teams simultaneously:
Literature
Tutoring
EMEA
Why?
The user will be suggested to guests whenever they match the selected criteria.
Step 5: Configure the booking page
What do I need to do?
Create or edit your booking page to allow guests to select their desired criteria (tags, teams, or services).
Result
Vyte will automatically search for people and venues matching the chosen criteria.
What does the guest see during booking?
The guest selects the criteria matching their needs.
Vyte then displays:
the availability of members belonging to the relevant teams;
only the time slots where people matching the criteria are available.
How is the venue assigned?
When a time slot is selected:
Vyte checks the availability of the associated venue.
The venue is automatically booked if it is free.
The venue is added to the event and to all communications sent to participants.
What appears in the confirmation email?
The booked venue automatically appears as the Default Location in:
the confirmation email;
the calendar invitation;
the appointment details.
Participants therefore have all the information they need to get to their appointment right away.
