How to Manage Different Availability by Meeting Location ?

Objective

Allow your teams to offer different availability depending on the meeting location (offices, branches, etc.), ensuring that clients can only book appointments at the right place and the right time.

How it Works in Vyte

Location-based availability in Vyte is built around a two-level structure:

  • Team users (your employees)

  • Location users (your offices or physical locations)

Each location is created as a dedicated user in Vyte, allowing it to have its own booking page and its own availability schedule.

1. Setting Up the Structure (Administrator)

The administrator configures the overall organization:

  • Create one Vyte user for each location (e.g. Office 1, Office 2, Office 3).

  • For each location user, configure a dedicated My Vyte Page.

  • Add the location details to that page (e.g. Office 1 – 19 Rue Vaugirard, 75005 Paris).

  • Define the availability schedule specific to that location.

👉 Each location has its own booking page and its own opening hours/availability.

2. Configuring Team Members

Each team member:

  • Creates appointment types associated with the different locations (e.g. Office 1, Office 2, etc.).

  • Sets their availability for each location based on the days they are present there.

For example:

  • Available at Office 1 on Monday and Tuesday.

  • Available at Office 2 on Thursday.

3. Automatic Availability Matching

Once the configuration is complete, Vyte automatically matches:

  • the availability of team members, and

  • the availability of the corresponding location users.

The system cross-checks both sets of availability to determine:

  • whether a team member is available at a given location, and

  • whether that location can display bookable time slots.

As a result, clients only see appointment slots when both the team member and the location are available.

Example

Consider a team member with the following schedule:

Monday and Tuesday

  • Available for appointments at Office 1

Thursday

  • Available only for appointments at Office 2

What the client sees

  • On Monday and Tuesday, only appointment slots for Office 1 are displayed.

  • On Thursday, only appointment slots for Office 2 are automatically available.

Summary

  • Each location is represented as a dedicated Vyte user.

  • Each team member defines their availability for each location.

  • The administrator manages the overall structure.

  • Vyte automatically synchronizes availability using an internal identifier.

  • Clients only see appointment slots that are actually available based on both the selected team
