Team forms that are easier to manage

What is this new feature for?

This update simplifies form management when your guests need to schedule an appointment with someone who belongs to multiple teams.

Using team tags, Vyte automatically identifies the relevant members or resources and suggests the corresponding available time slots.

How does team assignment work?

You can now assign one or more tags to your teams in the settings.

When a guest submits a form, Vyte automatically creates a “virtual team” based on the selected criteria. The availability options displayed then correspond only to the Members or resources that have all of the requested tags.

Members or resources who are part of teams tagged with the associated tags

Ex:

Based on

  • a field associated with the “discipline” tag that lists teams of experts in various disciplines

as well as

  • a field associated with the “language” tag that lists teams of people based on the language they speak

-> Vyte checks the availability of people who were part of the teams selected from among those tagged with specific skills and languages (e.g., people capable of providing “math tutoring” in “English”).

Steps to follow:

  1. In your Vyte account, click “Settings,” then “Teams.”

  2. Click on the team linked to your form.

  3. Add a toggle as shown below, click “Add,” and don’t forget to save!

4. Please contact our support team to activate your form.

In practice:

A guest selects the following criteria in the form:

  • French

  • Literature

  • Ph.D. student

Vyte automatically suggests the availability of a member who belongs to the “French,” “Literature,” and “Ph.D. Student” teams at the same time.

For example:

Based on

  • a field associated with the “discipline” tag listing teams of people with expertise in various disciplines

as well as

  • a field associated with the “language” tag listing teams of people based on the languages they speak

→ Vyte finds the availability of the person who is part of the selected teams among those tagged with the “discipline” and “language” tags (e.g., a person capable of providing “math tutoring” in “English”)

Are resources taken into account?

Yes. This feature also applies to resources, such as:

  • locations

  • equipment

  • items (for example: a television, a camera, etc.).

The available options will take into account the resources that match the selected tags.
